Events Coordinator

Fox Fodder Flowers is a New York-based floral studio known for its refined, nature-driven aesthetic and thoughtful approach to design. We work across deliveries, weekly accounts, and high-end events — and we are looking for someone to lead the event side of what we do.
This role is for someone who can operate with creative authority and organizational precision in equal measure. You will work directly with Creative Director, Taylor, and Director of Operations, Ruby, to take events from concept through final installation. It is a role with real responsibility, real creative latitude, and significant room to grow within the company.
The Role
This position covers the full lifecycle of mid-to-large scale floral events — client communication, pre-production, day-of execution, and post-production wrap. You will be the operational lead on events, working under the creative direction of Taylor and in close collaboration with the operations team.
The role begins part-time with a training period that will involve both events and in studio design assistance. The position will aim to be full-time by August 2025 following a 3 month training period. There is meaningful potential for growth within the company for the right person.
What You Will Do
Client Communication
- Participate in initial client meetings and take detailed notes on logistics, estimates, and creative direction
- Serve as the primary point of contact for clients following approval of the creative proposal
- Field and filter requests for changes to estimates or creative, passing to Taylor as needed
- Prepare and share contracts, deposit invoices, and final invoices
Event Management
- Assist in estimate creation, with the expectation of owning this independently over time
- Hire and manage freelance teams and breakdown crews
- Work directly with planners and venue contacts to coordinate logistics
- Manage Notion — building and maintaining databases for freelancers, venues, hard goods, and tool lists
- Create and distribute schedules and call sheets for pre-production, production, and post-production
Pre-Production
- Coordinate transportation, trucking, and vehicle rentals
- Communicate schedule and creative directive to breakdown teams
- Place and retrieve hard good orders, coordinate rentals, and receive deliveries
- Organize, prepare, and pack vessels, materials, and supplies
- Manage freelancer communication relating to logistics and materials
- Ensure rental vehicles are picked up, loaded, and returned
Production — Day-of
- Manage the day’s schedule and overall on-site time management
- Communicate with planners and on-site contacts throughout the event
- Direct the breakdown team — storage, imagery of finished scope, timing
- Ensure vehicles are unloaded at the studio and returned to rental locations
Post-Production
- Oversee the cleaning, organization, and return all inventory and rentals
- Manage waste, compost, and recycling
- Ensure minimal disruption to studio workflow during post-event return
What We Are Looking For
- Minimum 5 years of experience in event production, floral design, or a closely related field
- Strong background in floral design with a natural, refined aesthetic in line with the Fox Fodder sensibility
- Deep understanding of flowers, seasonality, and their application in high-end events
- Familiarity with the New York Flower Market
- Highly organized with strong project management capabilities and excellent follow-through
- Proficiency in Notion, Google Workspace, and Microsoft Office — particularly Excel
- Demonstrated ability to lead teams and manage multiple projects simultaneously
- Strong communication skills — clear, professional, and proactive
- A portfolio that demonstrates your aesthetic range and event experience
- Based in New York (required)
Who You Are
You are highly creative and self-directed, but you understand that great events live or die on logistics. You have a refined design sensibility and a genuine comfort with the operational complexity that high-end floral events require. You know how to lead a team, hold a timeline, and stay calm when things change — because they always do.
You are interested in the Fox Fodder aesthetic: Natural, seasonal, considered. You do not need to replicate it — you need to understand it and contribute to it. You bring your own point of view and you are interested in pushing creative boundaries from within a framework, not outside of it.
